Legal Administrative Assistant

We are currently seeking a Legal Administrative Assistant to join our Labour & Employment team. This is an excellent opportunity for an experienced assistant who thrives in a fast-paced environment and is looking to build a long-term career with a firm that values professional growth and teamwork.
Responsibilities:
- Prepare, format, and proofread a variety of legal documents including pleadings, correspondence, contracts, and arbitration materials.
- Manage lawyer calendars, coordinate meetings, hearings, and travel arrangements.
- Open, maintain, and close client files in accordance with firm procedures.
- Track deadlines and limitation dates; manage bring-forward systems.
- Communicate professionally with clients, opposing counsel, and external stakeholders.
- Assist with billing, time entry, and expense tracking.
- Support other members of the Labour & Employment team as needed.
Qualifications:
- Minimum 2+ years of experience as a Legal Administrative Assistant, preferably in Labour & Employment or Litigation.
- Graduate of an accredited Legal Administrative Assistant program.
- Strong understanding of court procedures and document management.
- Proficiency with Microsoft Word, Excel, Outlook, and document management systems (iManage or similar).
- Excellent written and verbal communication skills with a high attention to detail.
- Proven ability to manage multiple priorities and deadlines in a team-oriented environment.

Compensation
The expected salary range for this position is $60,000 - $75,000 annually. The final offer will take into account the candidate’s skills, experience, and job-related knowledge, as well as internal and market equity.

Legal Assistant - Float Resource Team
Harris is currently seeking a Legal Assistant – Float Resource Team to join our team.
Responsibilities:
- Assisting with ongoing firm projects, and providing over-flow support and vacation/leave coverage for legal support staff;
- Drafting and preparing letters, memos, and correspondence as directed by legal professionals;
- Creating, monitoring and maintaining client files for legal professionals;
- Opening and closing files;
- Processing billable and non-billable time and preparing client invoices;
- Managing calendars and bring forward systems to ensure important deadlines are met;
- Liaising with external clients as required; and
- Preparing for trial and hearings, including organizing respective documents.
Qualifications:
- Minimum 1+ years of experience as a Legal Administrative Assistant, preferably in Labour & Employment or Litigation.

Immigration Paralegal
We are seeking a detail-oriented and proactive Immigration Paralegal to join our team. This role provides an opportunity to work closely with our immigration lawyer on a variety of client matters, supporting individuals and businesses with their immigration needs.
Responsibilities:
- Prepare, draft, and review immigration applications, submissions, and supporting documents.
- Manage and monitor client files, ensuring accuracy and compliance with legal requirements and firm procedures.
- Liaise with clients, government agencies, and internal stakeholders regarding applications and supporting documents.
- Conduct research related to immigration regulations, policies, and precedents.
- Track application deadlines and maintain up-to-date records.
- Support with file preparation for submissions and client consultations.
- Assist in preparing invoices, organizing disbursements, and maintaining billing records..
Qualifications:
- Paralegal Diploma or Certificate from a recognized institution (or equivalent relevant experience).
- Minimum 2+ years of experience in immigration law considered an asset.
- Familiarity with both temporary residence and permanent residence matters.
- Comfortable working in a fast-paced environment and have the ability to multi-task.
- Excellent organizational skills with strong attention to detail.
- Proficiency with Microsoft Office (Word, Outlook, Excel); experience with immigration case management software is an asset.
